What You Need
- A WhatsApp Business API account (via an approved BSP like Interakt, Wati, or similar)
- Zoho CRM — any paid plan
- A Zoho CRM integration with your WhatsApp BSP
Step 1 — Get WhatsApp Business API Access
Unlike the regular WhatsApp Business app (which is free but limited), the WhatsApp Business API is a platform-level access that allows automation, bulk messaging and integrations. You apply through Meta's approved Business Solution Providers. The process takes 3–7 days and requires a Facebook Business Manager account and business verification.
Step 2 — Choose an Integration Method
There are two main ways to connect WhatsApp to Zoho CRM:
Option A: Native Zoho CRM + WhatsApp Integration
Zoho CRM has a built-in WhatsApp channel integration. You connect your WhatsApp Business API number directly in Zoho CRM's messaging settings. This is the cleanest option — messages appear directly on the contact record timeline in CRM.
Option B: Via a WhatsApp Platform (e.g. Interakt, Wati)
Use a dedicated WhatsApp platform as your message hub, then connect it to Zoho CRM via Zoho Flow or webhooks. This gives you more features (chatbots, broadcast campaigns) but adds another layer of tools to manage.
Step 3 — Map Incoming Messages to CRM Records
Configure the integration so that incoming WhatsApp messages are automatically matched to existing CRM contacts by phone number. If no match is found, a new lead is created automatically. Every message in and out is logged as a timeline activity on the contact record.
Step 4 — Set Up Automated Responses
Create automatic response templates for common scenarios: new lead enquiry, appointment confirmation, payment reminder, and post-service follow-up. These are sent automatically by Zoho CRM based on deal stage or trigger events.
Step 5 — Train Your Team
Your sales team can now send and receive WhatsApp messages directly from inside Zoho CRM — without opening their phone. Every conversation is visible to managers, searchable, and linked to deals.
